v2.0 update — Automatic Mode

All stores start in Automatic Mode and may freely switch to Manual under Earning and redemption mode, confirming with the back-office credential. Points and history remain.

In Automatic, customers scan fiscal QR codes, up to 5 valid receipts per store and day, track progress and activate rewards at checkout. The store checks the name, reward, active status, time and masked phone, applies the reward and provides the receipt. The customer scans it afterwards; a later purchase may recover a missing receipt without earning points.

Manual keeps the current POS: the customer provides the 4-digit PIN from their personal account and the store validates it. Use Security and misuse for reviews and store-only suspensions. VoraPlex does not store or compare customer tax IDs.

POS barcode (automatic reward)

Under Rewards → Edit, the store can save an EAN-13 code for its billing software. It appears only on an active automatic-offer display and lets the operator scan the item, free product or discount configured by the store in its POS.

  • Keep the default value unless that code already belongs to an item in the store POS.
  • Create the POS item/discount with exactly the same code and set its value there.
  • With 12 digits VoraPlex calculates the check digit; with 13, the EAN-13 must be valid.
  • Different stores may use the same code because each POS maps it locally.

Before applying it, confirm the store, reward, active status and timer. The barcode does not replace the VoraPlex confirmation or the receipt the customer scans to complete the redemption.

This guide explains, plainly and honestly, everything a store needs to know before joining VoraPlex: what it is, how it works, what it costs, what is included and what is not.

1. What is VoraPlex

VoraPlex is much more than a points programme: it is a complete platform to manage and build customer loyalty — with an appointment scheduler and SMS reminders, SMS campaigns, statistics and insights, receipt scanning and a network of partner stores. The points and rewards programme is just one of its parts. Everything is managed through an online POS (point of sale) accessible from any device with a browser.

VoraPlex does not sell products, does not issue invoices on behalf of stores, and is not responsible for the store's commercial operations. It is a technology tool for loyalty — the store uses it, the store runs the business.

2. How the points programme works

From the customer's side:

  • The customer registers at the store by providing their name and phone number.
  • They create a 4-digit PIN (or password) used to identify themselves in transactions.
  • On each purchase, the store operator logs the amount in the POS and points are credited automatically.
  • When the customer has enough points, they can redeem them for rewards — which always requires entering their PIN.

From the store's side:

  • The store defines the rules: points per euro spent, available rewards, minimum purchase value to earn points, etc.
  • The POS operator logs purchases and redemptions; multiple operators (staff) can have restricted access.
  • The store administrator views statistics, manages customers, sets up campaigns and sends messages.

Earning points from the receipt (optional): besides counter registration, the customer can earn points on their own by scanning the receipt's fiscal QR code in the VoraPlex app. For this to work, the store must have its tax ID (NIF) filled in. Each receipt counts only once, must be scanned within 72 hours, and each customer can scan at most 5 valid receipts per store and day.

3. Plans and pricing

There are four plans. The price is monthly, in euros, and depends on the number of registered customers in the store:

The plan updates as your customer base grows. There are no hidden setup fees. The plan does not include hardware — the store needs a computer, tablet or phone with a browser.

4. What is included in all plans

  • Access to the online POS (purchases, redemptions, point balance checks)
  • Customer management and full history
  • Points and rewards rules configuration
  • POS operator accounts (staff) with restricted access
  • 10 messages/month to send internal notifications to customers (via VoraPlex app)
  • Statistics and basic reports
  • Customer and store insights
  • Access to the VoraPlex network (explained below)

5. Messaging — what it is and how it works

The platform lets you send messages directly to customers within the VoraPlex app/platform (internal notifications). Each plan includes 10 messages per month. The quota does not roll over — it resets on the 1st of each month.

There is also an option to send real SMS to the customer's phone (via external provider SMSAPI). This uses the same monthly quota. The store is responsible for ensuring it has a legal basis to send marketing communications to customers.

Appointment scheduler (optional). For businesses with appointments, a Scheduler module organises bookings by attendant (list, day, week and month views). With the scheduler SMS add-on enabled, the customer automatically receives a reminder SMS about 24 hours before the appointment; each reminder uses 1 SMS from the same monthly quota (or from purchased SMS). The Scheduler and its SMS add-on are optional and enabled on request.

Security SMS (identity verification at registration) are free and do not count towards the quota.

6. The POS — how it works day to day

  1. Identify the customer by phone number (with country code, e.g., +351912345678).
  2. Enter the purchase amount and document number (invoice/receipt).
  3. Points are automatically allocated according to the rules you set.
  4. To redeem a reward, the customer must enter their PIN — no PIN, no redemption. No exceptions without management approval.

The POS works in any browser (phone, tablet, computer). No software installation required.

7. Staff management (POS operators)

The store can create operator accounts for staff. Operators have access only to the POS (purchases and redemptions). They cannot view statistics, manage customers or change settings. The store administrator controls everything.

8. VoraPlex Network

The VoraPlex network allows a customer's points at one store to be recognised at other stores in the same network — if the store opts into this feature. Customer movement in and out is logged and visible in the store dashboard.

Important: joining the network is optional. You are not required to share customers with other stores.

9. Customer phone number changes

The phone number is the customer's primary identifier. If a customer changes their number, they must update it immediately at a VoraPlex store or contact voraplex@voraplex.com. The update requires the old number's PIN in the VoraPlex app and can only be done by an authorised operator following strict identity verification. VoraPlex and stores accept no responsibility for loss of points or unauthorised access due to a failure to update the number promptly.

10. What VoraPlex does NOT do

  • Does not issue invoices or receipts for the store's sales.
  • Does not guarantee customers will use the programme — customer uptake depends on the store.
  • Does not provide hardware (printers, tablets, scanners).
  • Does not handle accounting or the store's tax obligations.
  • Does not resolve disputes between the store and customers about products or services.
  • Does not guarantee uninterrupted availability — scheduled maintenance may occur.
  • Does not store payment data (credit cards, bank details).

11. Data protection (GDPR)

The store acts as data controller for its customers' data. VoraPlex acts as a technical processor. The store is responsible for informing customers about how their data is used and obtaining any necessary consent. VoraPlex complies with European data protection law (GDPR).

12. How to join

  3. VoraPlex sets up the store on the platform and provides access to the admin panel.
  4. The store configures its points rules, rewards and communications.
  5. Staff are trained to use the POS (it's straightforward — about 30 minutes).
  6. The store starts registering customers and logging purchases.
